Does Nuvio One include a client portal?

Yes — every workspace gets a branded client portal at your-brand.nuvioone.com. You control which contacts can access it. Once enabled, clients log in with their email, see their projects, download shared documents, and can submit support tickets. The portal shows your workspace name and styling — clients never see the Nuvio brand unless you want them to. For onboarding, clients use the direct link you send them.

Does the bookkeeping replace my accounting software?

No — and it's not designed to. Nuvio One's bookkeeping module handles the day-to-day: logging income and expenses, categorising transactions, tracking P&L by month, and auto-recording invoice payments. When it's time for tax filing or year-end review, you export a QuickBooks-compatible CSV and hand it to your accountant or import it into your accounting software. Think of it as the layer between your operations and your accountant — so you're not manually reconciling invoices at year end.

What exactly does the AI chatbot do?

The AI chatbot is the first point of contact for customers or staff with a question. It searches your Knowledge Base in real time and provides a sourced answer — without involving an agent. If it can't resolve the issue, it lets the user raise a ticket in one click, pre-filled with the conversation so your team has full context from the start. On average, well-maintained knowledge bases see 60–70% ticket deflection.

What's the difference between the internal and external Knowledge Bases?

The Internal KB is private — only your team can access it. It's for SOPs, escalation guides, onboarding docs, and policies. The internal AI assistant uses it to help staff find answers without interrupting colleagues. The External KB is public-facing — it's the help center your customers see and search, and the content that powers the customer-facing AI chatbot.

Is Nuvio One a CRM, a Helpdesk, or a Knowledge Base?

Yes. You can add individual contacts (patients, clients, tenants) and business organizations. Employees or members can be linked to their organization, and all activity at both levels — tickets, invoices, interactions — is visible in a unified timeline.

How much effort is needed to build the Knowledge Base?

Less than you'd think. Start with your top 10 most common customer questions and your 5 most-used internal SOPs. Even a small KB meaningfully reduces tickets. Articles use a simple rich-text editor — no coding, no formatting expertise required. You can also import from existing documents and build the KB incrementally over time.

What happens to my data if I cancel?

You can export all contacts, tickets, invoices, KB articles, and files at any time (CSV, JSON, PDF). After cancellation, your data is retained securely for 30 days before permanent deletion. No long-term contracts — cancel anytime on Starter or Business plans.

What does the Resource Planner do?

The Resource Planner gives business owners a clear view of their team's capacity — who is available, what each person is currently allocated to, and whether you have the bandwidth to take on a new client or project. You can assign team members to projects with hours per week and date ranges, log billable hours against those projects, and generate invoices directly from the time tracked. It is designed for small service businesses — not a full project management tool, just enough visibility to make confident resourcing decisions. Coming in Version 2.
